Hours every week. Orders and invoices that move the same day. Fewer jobs lost in a text thread.
Process and software fixes · GTA · 5 to 30 peopleGTA · 5 to 30 people
We fix how work moves through your business.
Quotes, orders, scheduling, inventory, invoices. If they live in spreadsheets, binders and someone’s head, we fix the process and put in the systems to run it. You get your hours back, and jobs stop getting lost.
Not a pitch. You leave with two or three things to fix this month, whether or not you hire us.
What we do
Process first. Then the systems.
Understand
We sit with your team and write down how a job actually gets done, from the first call to getting paid. Binder, spreadsheet or five apps, it doesn’t matter where you start.
Fix
We cut the steps that waste time and every place the same thing gets written down twice.
Set up
We put in the off-the-shelf software the new process needs, move your data in, and train your team on it using their own jobs, not a demo.
How it works
Three steps. Stop after any one.
A free 30-minute call
You tell us how work moves through your business today and where it gets stuck. We tell you whether we can help and give you a rough number for the build.
$0
The plan
Two weeks later you get a written plan: how work moves today, what changes, which software runs it, what each costs a month, and a fixed quote for the build. Yours to keep, whoever builds it.
$1,000 credited toward the build
The build
One process at a time, the first one live within 30 days. We set it up, move your data in, and train your team before touching the next. Nothing is switched off until its replacement works.
Fixed quote in your plan, before you commit
What you end up with
One place for everything. You own it, not us.
Customers
One record per customer, with every quote, job and message, that anyone on the team can open. A customer calls, and whoever answers sees the whole history before they say hello.
Orders
Every order, from a customer or to a supplier, tracked from placed to delivered, so nobody has to call the supplier to find out.
Jobs
Scheduling and job cards the office, the crew and the customer all see.
Inventory
What’s in stock, on the truck and on order, checked when the job is booked, not when the crew arrives.
Money
Quotes that turn into invoices in one click, synced to the books your accountant uses.
The busywork
Confirmations, reminders and follow-ups sent on their own from the job record.
Not a fit
If you work alone, already run on one connected system, or want software built from scratch. We’ll say so on the call.
What we stand for
Everything written down. Still running next year.
Transparency
Every fee, every account and every recommendation is written down before you commit. Accounts are opened in your name. We don’t take referral fees from software vendors, so what we recommend is what we’d choose for ourselves.
Only what pays for itself
We only recommend what earns back its cost in hours saved or work that moves faster. If the honest answer is that you don’t need us, we say so on the call.
Built to last
Off-the-shelf wherever it exists, written down wherever we build, and nothing that only we understand. You can run it without us, and nothing stops working if we’re not there.
No retainer, no lock-in
You pay for the plan, then for the build, and that’s it. If the first process works, you’ll call us about the next one. That’s the whole deal.
Who you’ll work with
Small business is the point, not a stepping stone.
CleverLoop was started by people who spent their careers setting up software at companies with hundreds of staff. A twelve-person business has the same problems. Until a few years ago, the software to fix them cost more than the problems did. It doesn’t now.
We’re small on purpose, based in Etobicoke, and mostly work with businesses we can drive to. The person you meet on the first call writes your plan and sits with your team during the build.
Let’s walk through one job together.
Thirty minutes, on the phone or on video. Bring nothing but a rough idea of what frustrates you most.
You’ll pick a time on the next page and get a calendar invite. Nothing else happens until we’ve talked.
On the call
- 1Walk us through one job, from first contact to getting paid.
- 2We point out where you’re losing time and where things get lost.
- 3You leave with two or three things to change this month, whether or not you hire us. Usually small: a supplier ETA written on the job card, or a quote that becomes the invoice instead of being retyped.
